If I am approached by someone wanting to make a donation to my unit, what should I say?

Thank them for their interest. Be aware of your unit’s approved fundraising priorities (e.g., scholarships for undergraduate and/or graduate students). Let us know about the query and if they indicated interest in any particular areas. We will be happy to follow up with the donor on your behalf.

 

What do I do when a donation comes in to my unit?

Congratulations! To facilitate processing and receipting of gifts in a timely manner, contact Jacob Wesolowski at jacob.wesolowski@utoronto.ca or 6-3116 within 24 hours of receipt. Please fill out a donations processing form, if available, or indicate the project or fund number to where the donation should be directed. We will be happy to arrange a pick-up of the cheque. If you are sending a special mailing from your office, please ensure that the return envelopes or addresses within the solicitation package are consistent with pledge form and/or messaging in the appeal.

 

How can someone make an online donation to my unit? How do we get a new fundraising initiative on the online giving site?

The Faculty of Arts and Science and all of our units now have dedicated pages on U of T’s giving site so that people can make secure, online donations and automatically receive a receipt (https://donate.utoronto.ca/artsandscience). Units have been given a user-friendly URL that they can use to link to from their own websites, or in their communications materials. The ‘gift designation options’ (or projects to which donations can be directed) that are currently listed can be changed and updated whenever needed. The unit’s business officer can work with our office to complete a summary sheet or other necessary paperwork, and set up a fund for new projects.

I want to honour the memory of a family member, friend or colleague who has passed away. How can I set up a fund to which donations can be directed?

Establishing a trust in memory of an individual is a wonderful way for family, friends and colleagues to recognize and honour someone who has been such an important part of their lives. This could be through the naming of a scholarship or a space on campus, or towards an already established fund within a department or the Faculty. Here are some ways that you can encourage donations to the memorial fund when planning a memorial event:

  • Ensure that invitees have the opportunity to make a donation by including a pledge form with the invitation
  • Make reference to the memorial fund in the obituary (Sample text: The XXX Memorial Fund has been established as a permanent legacy at U of T. In lieu of flowers, XXX’s family has requested donations to be made to this fund. For those wishing to honour XXX in this way, please contact Monica Lin at 6-5616 or monica.lin@utoronto.ca).
  • Include a contact for the memorial fund in the event program and have copies of the pledge form on hand at the event

What is something simple that I can do to immediately build stronger relationship with donors to our units? What do I do with the list of donors that my unit receives from your office?

The simplest—and probably one of the most powerful—way is to send a personalized thank you note to the individuals who make a gift to your unit, letting them know that their donation is being used in the way that they intended. This is also an opportunity for you to let donors know about the exciting things that are going on in your unit and potentially get them more engaged—recent developments, research breakthroughs, honours bestowed on faculty or students, upcoming or recent events, including student organized conferences. You can create a template that can be modified as necessary, and updated periodically. A more engaged and appreciated donor is more likely to become a repeat donor! Each month, Jacob Wesolowski provides units with a list of donors (otherwise known as the ‘appreciation report’).

There is a student in my unit who has demonstrated exceptional community leadership. What can we do to recognize their extra-curricular contributions?

The student experience at the University of Toronto is more than classes and books. It is life on campus, in the community and in the world at large. The Cressy Awards, created by the University of Toronto Alumni Association and named for the former U of T vice-president who inspired them, recognize students for their contributions to improving the world around them and for inspiring others to do the same.

An alumnus/a of our unit has been an outstanding volunteer on our behalf. How can we recognize him/her for their service?

The Arbor Awards were created by the University of Toronto in 1989 to recognize alumni and friends for outstanding volunteer service to the university. Since then, the university has annually acknowledged the alumni and friends whose loyalty, dedication and generosity have added substantially to the quality of the U of T experience for students, faculty, staff and alumni. The Arbor Award is our way of thanking them and letting them know that their contributions of time, energy and expertise do not go unnoticed.
